Software and AI Agents for Machinery Trade and Export
On a single morning, a machinery dealer's inbox holds a request from Poland for a used lathe, a spare-parts request quoting the serial number of an older machine and a question from the freight forwarder about the export papers. Each message needs someone who knows the machines, checks the stock and replies in the right language. The same people are also supposed to find new customers in other countries.
What an AI agent can take over, with review
An AI agent reads these messages, gathers the data it needs and presents a draft. A member of staff checks and sends it.
- Requests: find the requested machine in stock or an alternative and draft a reply in the customer's language.
- Spare-parts and service requests: identify machine and part from the message, ask for missing details and hand the case to service.
- Export documents: transfer details from the order and master data into drafts of the pro forma invoice, packing list and accompanying papers.
- International leads: research dealers, plants and projects in a target market, explain the fit and draft the outreach.
For this, the agent needs access to stock, customer data and past cases, which are usually spread across CRM, ERP and the inbox. Where your programs do not provide that access, we build the missing connection, with approval and a log.
What stays with you
A person sets prices, commits to delivery and decides whether and where a machine ships. Customs tariff numbers, export regulations and sanctions screening are checked by your team or your forwarder, even when the agent prepares the documents. For tasks with a clear rule, such as a fixed handover of orders to accounting, a fixed automation without an agent is often enough.
Our experience with international sales
For ILLIES, which connects European technology suppliers with industrial customers in Asia, we built a digital sales platform for China: website localization, WeChat and Baidu channels, a CRM connection and reporting that showed channel quality, lead status and follow-up together. The project dates from before our focus on AI and contains no agent. It shows that we can work with sales data from several countries, languages and channels.
How an agent reads websites for buying signals and drafts outreach is shown by the AI sales assistant at MAFU-SHERPA, which runs in production there. We have not yet deployed an agent for a machinery dealer; what works in your company, we test on your own cases.
A good start is an opportunity assessment: one day in which we go through real examples with you to see which of these tasks cost the most time and what your data allows today. If you would rather talk about one case directly, let us discuss a concrete workflow.
