XPO Inventory: Inventory-Driven Project Management

Booth-building teams manage thousands of articles, multiple storage areas, trucks, booths, and portable bins. Inventory systems show what exists. Project management systems show which dates are coming. The operational gap sits between them.

A project can look green in the plan while material is still in the warehouse. An article can exist but already be reserved for another booth. These contradictions often surface only when packing, loading, or installation is already underway.

CERTAINCE built a data model where articles, locations, reservations, and transactions work together. Four location types carry the operational logic: warehouse, truck, booth, and bin.

Every movement is written as a transaction: receipt, move, adjustment, reservation, reservation cancellation, and disposal. That creates an audit trail that does not have to be reconstructed later from spreadsheets.

Project views show planned, delivered, and onsite material from the same data. Project cards, calendar, activity history, and messages all read from that operational source of truth.

For warehouse-floor work, the app includes QR labels, scanner-friendly inputs, and bulk movement workflows. Users can scan articles and locations, check quantities, and submit multiple movements together.

Offline work was treated as a product feature. Inventory moves, project receiving, project moves, disposal, and new articles can be captured locally in queues. During sync, the server applies the same stock, reservation, and organization rules used online.

The app also supports AI Photo Prefill for article data. Photos can suggest name, description, color, category, and unit. Dimensions and quantity stay manual because those fields are too important for inventory workflows to guess.

XPO Inventory was not planned as an isolated tool. Selected inventory articles can be transferred to XPO Market as draft listings. Images, article information, and category mappings are carried over, while prices and publishing stay controlled in the marketplace.

This creates a clean transition between internal stock and external sales or rental offers. An article remains operational material first. When it should be rented or sold, it becomes a reviewable marketplace draft.

XPO Inventory turns material movement into visible project status. Managers see not only dates, but whether the required articles are reserved, delivered, or already onsite.

Warehouse and project teams work from the same data. Barcode workflows, offline queues, and transaction history reduce the usual breaks between planning, packing, transport, installation, and return.

The architecture stays extensible: organization-scoped data, secure authentication, cloud storage, payment options, push features, and E2E tests form the basis for a production SaaS product.
